Most projects will have to endure changes to the project scope. Changes can be proposed by project stakeholders or forced by conditions outside the control of the project management team. The way that changes are handled can significantly impact the success of a project. (1) Create a scope management plan, essentially a procedure for accepting, reviewing, approving, and incorporating changes to the project.

Your course project is now in the Execution phase and as expected, a change has been introduced. (2) Review the change and then apply your Scope Management Plan toward accepting, reviewing, approving, and incorporating the change. Provide a detailed summary of each of the steps.

Do not minimize the impact of the proposed change, all of these represent significant changes that should impact many areas of the project plan; especially the timeline and budget, and provisions must be made to accommodate the change throughout the project plan. Because the change is considered mandatory, the option to circumvent the change is not available.  

Project Change:  

The owner has decided that you must add a decorative awning to the 25 ft. front window of the store; the awning must fit the color scheme and include custom lettering promoting the bakery. The bakery cannot proceed with opening day unit the awning is ordered, received, and installed. The estimated cost for the creation and installation of the awning is $10,000 and there is no additional money to be added to the budget.

Scope Management Plans has several aspects -

Requirement Gathering - Dimensions of awning, color and custom lettering, decorative writings, cost, resources needed, time for installation.

Scope has to be defined- Performance, safety issues, aesthetics and location concerns

The WBS (work breakdown structure) has to be detailed -

Product management and communication, consultation with all stakeholders,resource planning, parts suppliers and manufacturers, scheduled day for installation.

The resources need to be optimized -$10K being the installation costs for the awning.Further, the specifications fir the awning need to be clearly articulated, not only the dimensions of 25Ft, but also the exact color match, the font style and size to be used for bakery promotion. Apart from this , people need to be allocated for negotiating with suppliers, monitoring the work,making the payments. Further, costs and resources need to be allocated for future maintenance of the awning during its lifetime as well. It also has to incorporate the idea of future awning installations for brand promotion.

Once the installation of awning is done, its quality inspection and periodic maintenance has to be carried out.
