Question

You work in a bank and need to respond to customer questions and requests received through the mail. A customer's payment was one day late and his account was charged $35 late fee. The customer is asking for a credit of $35 since he thinks it is not fair to charge the account when a payment is only one day late. Your bank policy, however, takes payments very seriously and you are only allowed to credit the account when the payment is late because of bank error. You will write an indirect letter letting the customer know you won't be able to credit his account. You may not share the bank policy with the customer, but you will need to find a way to tell him the negative news. Write the letter in Block format with closed or mixed punctuation ( colon after the salutation and a comma after the close). Make up names and addresses for your company and for the customer. The letter should have your name in the signature block. See Appendix A in your textbook for help formatting your letter.

Explanation / Answer

To,

Mr. Baraka Obama

Dear Sir,

This is in reference to your request for waive off the late payment fee of $35 and credit the same back to your account. As your payment was late by a day the late payment fee has been levied to you. I regret my inablity to credit $35 to your account as I am not authorized to do so. However your request has been forwarded to my superior for his consideration.

Thankin you and looking forward to serving you in future

yours truly
