Question

I am assigned the role of a manager of a hospital-based orthopedic surgery clinic and I have decided to discontinue providing publicly funded physiotherapy services on-site. Effective immediately any patient needing the services of a physiotherapist will be referred to one of the private clinics in town. These clinics do not have public health coverage, but they are covered under most private insurance plans and accept cash or credit for uninsured persons.  This decision will force you to lay off 2 therapists that have been on staff for several years, but it will save the clinic $180,000 out of the annual $2,700,000 budget.

Help me draft a one-page communication briefing to patients and the staff informing them of the coming changes. As well as a one-page draft briefing to senior management informing them of the coming changes

Explanation / Answer

Brief to the patients and the staff:

Dear patients and staff,

This is with reference to the upcoming changes that the management is planning to implement in the organization. In the past the hospital is providing the services of publically funded physiotherapy services with the help of our skilled and talented therapists. Over the years the organization is facing financial crunch due to which the decision to discontinue this service have been decided by the management.

The patients have been so supportive and cooperative with us and help us render the services with ease, so now in order to look for the ease of the patients, we have decided to redirect the patients who have come for physiotherapy, to one of the private clinics nearby.

Implementing the changes is required for the overall welfare of the organization and for the benefit of the patients as well as the staff. Due cooperation and trust is requested from the part of the staff and the patients as well.

The organization have thought about the benefits of the therapists a well who will be laid off due to the upcoming changes. Both the well known, skilled and experienced therapists will be recommended for job in one of the private clinics so that they continue to serve the patients as they used to do previously. Moreover the welfare and care of the patients is also considered therefore they will be redirected to one of the best clinics in and around the hospital.

Hope that the above stated changes will be understood carefully and the staff as well as the patients will try to understand the concern of the organization towards the patients, the staff and the organization as a whole.

Brief to the senior management:

Respected management,

This is to bring to the kind notice of the management that the organization is planning to bring a change in its operations and have been planned the entire process. The change is to stop the services of publically funded physiotherapy services by the hospital and it is being implemented by removing two of the therapists from the job.

The reason for doing so is the organization not able to manage the budget and by doing so certain portion of the budget will be saved. This saved funds can be used somewhere else. Moreover, the company is concerned about the therapists who have served us since years. For this purpose we have planned to recommend their names for job in the nearby private clinic.

After the services of physiotherapy within the hospital will be stopped, the patients whosoever will come to avail the service, will be redirected towards the nearby private clinic who will then serve them as per their needs. This collaboration with the clinic have been done to ease out the patients and serve them best whatever they demand.

The above stated changes will not harm the patients in any way nor will it harm the employment condition of the staff so laid off to maintain the budget. Moreover the change if implemented properly will benefit the organization financially and will not even harm the goodwill of the organization.
