MS Project

Management of professionals, Budget and Schedule

1.   Elaborate on three differences between management of operations and management of projects within an organization. Give a practical example to illustrate each of the three differences.

(I) An operations manager has daily management activities and many of them occur as usual schedule while a project manager has one responsibility of ensuring the project stays on the exact time

(II) An operations manager is process of product oriented while a project manager is project oriented

(III) An operations manager doesn’t have a start or an end to his activities while a project manager has clearly defined dates for managing a project

2. Compare and contrast the terms: goals, requirements, and deliverables as related to IT projects. Give a practical example of each term to illustrate the criteria for each definition. Be sure to indicate how each term differs from the others.

Goals are the long term aims that the project is intended to accomplish. That is the purpose of the project. Deliverables are tangible, auditable and measurable outputs which are expected to be acquired after completion of a project. A project that wants to train its workers and in turn improve their skills has the following deliverables: trained workers and improved skills. Requirements are quantitative and qualitative expectations and interests of the stakeholders of a project. Their difference from deliverables is that they specify the features of the deliverables (Patel, 2008).

3. Consider the use of four types of charts as applied to project management:

1) Milestone Chart

Milestone charts   can be used in a project to show where deliverables take place. They contain one milestone per line and are usually depicted with triangles unlike bars for Gantt charts

2) Flow Chart

A flow chart is used to show the flow nature of activities in a project and the steps that are involved in the project

3) Gantt Chart

Gantt charts can be used to provide the general project overview. They are tools for monitoring the progress of a project. Its components are: timeline, activities list and a bar for every activity

4) Network Diagram

A network diagram is used to show the relationship between the project activities. It is a roadmap which shows the interconnected network sequence and organization of activities of a project.
