You are to create an initial WBS for the project defined in an earlier assignment. The project will be to give computers to all incoming freshman each year for XYZ University. You must consider all of the work that must be done to plan, and implement such a project.

You are to create the WBS (work breakdown structure) for the project. A WBS basically lists all work that must be done in the project. The WBS will also be used to assign budget costs to the project.

You will do it in two different versions of the WBS, one being a hierarchical chart and another one as a detailed list. Remember that all WBS are action items (verbs)

Project Management Assignment Scope Assignment Assume that you are the Information Technology Manager at the University. The Provost at the University has told you that the to all incoming freshman. You are to define a scope statement for the project. This is the detailed overview of the project and will contain things such as exactly what is to be done, when it will be done and generally what it will cost.

Explanation / Answer

The project will develop, in coordination with other units, a program that will provide for: • the identification of proven vendors with whom the University will contract as the sole providers of each of the required laptop computer platforms • the specification of the hardware to be required and a base software image to be provided to all students • provisions for security and insurance • the development of a “life-cycle” distribution and recovery process managed by IT, after cycles are identified in consultation with the ATCC • hardware and software support within the limits specified below, under “Activities out of Scope” • a method for reimaging devices with standard laptop image such as in the case of software failure • a method for applying security and other updates deemed necessary by IT in consultation with the ATCC or a designated sub-committee • a method for approving changes to hardware and software specifications • accessibility through the creation of an Assistive Technology image developed in coordination with the Office of Disability Services • identification and/or development of printing resources for laptop users • maintenance of documentation A separate project (University Laptop Initiative - Part II) will monitor the sucess of the device recommendation program beginning in Fall 2006, will adjust plans for the Fall 2007 requirement. implementation accordingly, and will oversee the actual implementation of the requirement.

Project Objectives 1. Identification of a single proven laptop computer vendor for each platform. 2. Negotiation with vendors to obtain best price for laptops 3. In collaboration with the Financial Aid Office, develop recommendations for how students will pay for the computers a. Financial aid, targeted loan program, grant through the computer vendor or other resource for needy students, etc. 4. Insurance and security issues (theft, damage, etc.) a. Identification of insurance provider and costing model b. Investigation of possible theft deterrent and/or device tracking methods 5. Development and maintenance of a hardware specification for laptop computers 6. Selection of a process for the purchase and distribution of new computers to students through the university or a university-approved mechanism. 7. Specification, development, and installation of a standard base Windows and standard base Macintosh image to be supplied to all laptops purchased through the initiative. a. Software specification for laptop base images will be created by IT in consultation with the ATCC. b. As feasible, the images will deliver the same software on the Windows and Macintosh platforms. Software offerings may not be identical in all cases, however, due to limitations of vendor product offerings and/or performance considerations. c. May be deployed either by IT or may be installed by the designated vendor prior to delivery of the laptop computer to IT and/or the individual user, or provided directly to client. d. An assistive technology image will be developed based on a specification developed in consultation with the Office of Disability Services.

8. Process and facility for the provision of hardware and software support to laptop owners a. Planning for a conveniently located walk-in facility such as the SuperLab, and provision of interim laptop support procedures for students until such a facility is established b. Training/certification of IT staff by vendors to provide warranty repair c. Creation and maintenance of user-accessible documentation d. Planning for the provision of “loaner” computers during repairs on client machines, if a funding plan is developed to support these costs. e. Provision for support after normal (8am – 5 pm M-F) business hours. 9. Process for the creation of customized department- or school-specific base image a. To be provided on a contractual basis such as fee-for-service or divisional priority setting upon request 10. Decommissioning a. Note: Whether these tasks need to be undertaken will depend on the distribution/program model selected i. Process for physical intake of computers being turned in if required ii. Process for wiping hard drives and reimaging with licensed Operating System b. Determination of life-cycle length will be made by the ATCC or some other body designated by Academic Affairs. i. Longer life cycle will increase cost of support and repairs, due to lack of warranty coverage for parts and labor, or due to need to purchase extended warranty ii. Shorter life cycle will be associated with increased costs related to need to purchase a computer more than once during student’s enrollment at UNCG, and the possible need for increased financial aid. c. Determination of duration of support provided for given model yeard. Process for preparing computers to be retained by the student upon graduation or separation from University if necessary based on chosen program i. Specification of software licensing requirements for all software included in laptop “software load.” ii. The mechanism for the elimination or disabling of software not licensed for the non-university user if required by licensing agreement. 11. Communication a. Public relations/advertising campaign prior to the launch of laptop program b. Establish a date by which Academic Affairs should communicate a list of departments/schools/majors with a specific platform requirement if such a list is to be included in publicity material c.
