If the payment is authorised, the payments clerk thanks the caller and ends the call. The details are then passed to the invoice clerk in order to send a booking confirmation form to the customer immediately. If the payment isn't authorised and no alternative credit card is provided, the booking is cancelled and the customer and reservations file are updated accordingly. If the reservation is more than 2 weeks away, the payments clerk takes the credit card number as security for the booking, thanks the caller and ends the call. He then updates the invoice file so that payment can be requested nearer to the reservation date. The payments clerk, regardless of the reservation date, updates the reservation book when a booking is confirmed. The invoice clerk is also responsible for completing bookings that haven't been paid. This is usually done 2 weeks prior to the arrival date and these bookings are held on the invoice file. For these bookings, the clerk will locate the credit card details on the invoice file and will look for authorisation for the payment from the credit card company. If the payment is authorised, the clerk will send a booking confirmation form to the customer. If the payment isn't authorised, the clerk will contact the customer. They will request that payment is made immediately using another credit or laser card. If the customer provides their card details and the payment is now approved, the clerk will thank the customer, send a booking confirmation form and update the invoice file. If the payment isn't approved or the customer has no other credit cards, the booking is cancelled and the reservations book, customer file and invoice file are updated. All payments received are entered onto a payments file. This file is used by the accountant to reconcile the accounts each month.
