PLEASE READ ARTICLE BELOW AND ANS THE FOLLOWING QUESTIONS 1-6
You have learned both Excel and Access. To apply your knowledge, read the following case study and thoroughly answer the six questions at the end.
Ted owns a retail store in Baltimore. He would like to retain customer information, keep track of sales records, and manage the store inventories to better serve customers and expand the potential market. He currently completes all of his record-keeping using a paper-based ledger and uses Excel only to prepare his annual income statement for his tax return. Ted has hope of expanding his single local store to a number of regional stores. To grow his business, he knows that he needs to obtain more information on his customers, their preferences, and their demographic and geographic information. He also needs to analyze past and current sales data and improve his inventory management practices. However, with the current, mostly paper-based method, Ted has been unsuccessful in capturing all the information and conducting necessary analyses. In addition, with the potential business growth, he also needs to keep track of employees’ salary, productivity, working hours, and so on, all of which poses another challenge to the current recording-keeping method.
To help Ted out, please answer the following questions:
What are some of the specific issues Ted faces?
How could the use of spreadsheets or a database management system assist Ted with his issues?
What would you use, spreadsheets or a relational database management system, to record, update, and manage customer information, sales records, inventories, and employee information?
Will spreadsheets or a relational database management system effectively assist Ted in obtaining information for his expansion, making decisions about the efficiency of his current operations, and organizing overall data related to the store’s inventory, sales, etc.?
What details can you provide to support your choices or recommendations to Ted?
You should use the information provided in this case study and what you have learned from the course projects to answer this question. Discuss the advantages of using spreadsheets or a relational database management system to assist Ted with his current operations and aspirations of expansion.
Explanation / Answer
1)Ted has every record in Paper. The collected information in the paper can help him just for a record, it never help Ted to analyse the data in an easy way. Expanding a business will require the ground works made before and the database with a number of sold items and customer's Interest. Spreadsheets help Ted to store the data easier, with inbuilt formula's within spreadsheet can help him to analyse the data. But spreadsheets are not good for long term purposes. Relational Database system is was Ted Requires here.
2) Relational database stores the data with security and flexibility to analyze the data. It helps to relate every tables with a query and helps to understand where the business lags and helps in planning. Helps to keep track on items sold and bought. Based on previous sales report Ted can make decisions.
3) Having a Relational database helps Ted by storing the data in a common database about employees, salaries, shift timings from one place. It helps to manage the product sales too. In case a store is out of certain products and if another store has surplus amount of the same product, that can be transported to the required store.
4) I recommend Ted to go for Relational Database for his business expansion.
