You are the human resource manager for BuildTech Sdn. Bhd. Over the past three years, your company has grown from a small team of 15 staff to a 60 staff team. Due to this rapid growth, it was observed that staff members no longer communicate with one another other than for work purposes. Your managing director would like to organise some activities to improve relationships among staff members.


You are required to write a proposal to the managing director,
i) explaining the reasons behind this situation;
ii) describing the effects of the lack of communication and low team spirit; and
iii) providing two (2) suggestions to improve the relationships among staff members.

Explanation / Answer

In the current scenario, we are now a focused group of 60 members being lead by a very effective and efficient team leader. Our team leader is more of an authoritative team leader who gives an equal dose of control with effective and efficient interpersonal warmth. The members are always very attentive towards their team leader. They follow the instructions with finesse and complete the work within stipulated time and with utmost efficiency. It may be said that together the team works as a team when it comes to the execution of assigned work done.

Of late, I have been observing that when it comes to the interpersonal relationships among the workers, co-workers are not very welcoming towards each other. They work in tandem to each other when on a project but they are not very jovial and enthusiastic when they have to share their thoughts with each other. Right now this is not affecting their performance, but I foresee that in the longer run this will be a deterrent to the functioning and productivity may get hampered because of lack of interpersonal warmth.

When two people work together they ought to share their thoughts and feelings with their partners. They need to communicate with each. Proper effective communication where the sender and receiver of the message are in sync with each other is necessary when working in teams. The interpersonal conflicts are bound to occur if there is a gap between what is said and what meaning is derived from that. Failure to communicate well is detrimental to organizations. Synchronicity among team members is crucial for delivering the services to the customers. Putting everything at stake, just because people are no longer communicating with each other will impede the performance of the company.

Based on my observations I would like to suggest that we need to organize the communication skills training workshops to expedite the process of exchange of thoughts among co-workers.

Secondly I would want you to organize an informal get together among workers. Let us also include the family members of each member of this group. Let the employees enjoy a cultural evening and we may also encourage that they spend time with each other. We can call all the stakeholders once a month and ask them to share their experiences of working in teams with each other.

Small ice-breaking session may also be organized and force field analysis may be conducted to identify the driving forces that make them to complete the assignments given to them.

Overall, I would suggest that an informal once a month meeting and a cultural evening may be organized to set the ball rolling among the team members and employees of the company.
