Assume that you are the job analyst at a bicycle manufacturing company in Seattle and have been assigned responsibility for preparing job descriptions (including specifications) for all the supervisory and managerial positions. One of the production managers has just indicated that he will not complete the job analysis questionnaire that you have developed.
a) How would you handle the situation?
b) What arguments would you use to attempt to persuade him to change his mind?
c) If your persuasion efforts failed, how would you go about obtaining the job analysis information you need to develop the jo description for his position?
Explanation / Answer
First I will request to the production manager that if he can orally give the answers of the questionnaire and also I will try to explain him the importance of job analysis and job description report which I am going to prepare and how it will help the organization in future.
I will try to explain him the importance of a well written job description as it not only contain the information regarding major responsibilities and essential functions of a position but also it could be used in many HR policy making issues as a foundation. For example for recruiting the right person for right job, development and retaining of the staff so that they can perform their best, a clear assignment of job responsibilities and accountabilities for better performance and to avoid any ambiguity in future, what are expected from them, how efficiently they can perform their task, how they are going to evaluated for their performance, and how they can get performance reviews and compensation, bonus, increments etc. How the whole organization is going to get benefited from such kind of system in place.
c) If your persuasion efforts failed, how would you go about obtaining the job analysis information you need to develop the jo description for his position?
If my persuasion efforts get failed, I will use peer analysis or some past data if it is there for the job analysis and job description purpose. If the information is not available within organization then I will use similar industry data for similar job purpose to develop the job description for his position.
