Question

Suppose you have an office with three secretaries who divide their time evenly between typing, filing, and staffing the receptionist desk. What are some of the ways that you could organise their work, and what would be the probable effects of each way?

a. If one of them typically is rude and unpleasant with other people, would that make a difference? Explain.

b. If one of them clearly is the best typist but typing is the least desirable job, would that make a difference? Explain.

c. Suppose one of them has a 50 percent hearing loss that cannot be corrected. Would that make a difference?

Explanation / Answer

a. The secretary with unpleasant behaviour will be suited to either typing or filing job. She should be changed between these two duties to eliminate monotonicity and bring variety to the job, so as to help her keep calm. She is least suitable for front desk, as she will annoy the customers if she is assigned the front desk job.

b. The typist can be assigned the job of front desk full time as the other two are not suitable for the job. It will also keep the typist away from the job she is not interested in.

c. The third secretary with hearing loss can share the job of typing and filing with the first one. She is also not suitable for front desk due to compromised hearing abilities.
