Question
There are many companies that operate with no job descriptions for their staff or with out of date job descriptions. One common complaint among employees is that their job description does not match their actual job duties.
Considering your current job (adminstrative assistant) , if you were to conduct a job analysis with a view to updating your job description/specification, how would you recommend gathering information for this task? Specifically:
Which sources of information would you recommend? Give a justification for recommending those sources.
Which methods of data collection would you recommend? Give a justification for recommending those methods.
Explanation / Answer
Answer.
As an administrative assistant, I will conduct a job analysis to update job description by considering the nature of job, what duties it has, what post or designations are associated with it, what level of education, skills and capabilities it need, experience and expertise is needed, and compensation attached to it. This will help me to frame out the detailed description for job based on the available employees skills and knowledge. I will be able to get this information source from previous job analysis documents which will provide the nature of jobs and what all it require to meet. Then I can assess the employees resume who are meant for which particular job. After collecting these information I can frame a good jobs description.
I would recommend to collect datas from documents of current job, previous jobs posted on various platforms to see what they required, and interviewing with the employees regarding their personal and professional information, including their skills capabilities, education and to decide to which job they fit. This will help to develop criterias and duties to be included in the job description. Previous data regarding jobs posted will help to revise and not to make the same mistake in future and to get required information to provide proper job descriptions.
