SERVICE DELIVERY AND PROCESS ANALYSIS

Please note that these are discurssion questions

A. Define the following charateristics and explain what they mean interms of a process: capacity, efficiency, effictiveness, flexibility, quality , value and timeliness

B. NOTE : Capcity is a proces depends upon the degree of variability and uncertainty in the process, Service mix and randonness in processing time are two factors that can affect capacity: Question : Give example of two factors that can affect capacity?

C. NOTE: There is a direct relationship between cycle time , inventory levels and manufactturing level time. Question ; What is alternative healthcare term use of a process?

Explanation / Answer

Capacity – In simple terms it is the maximum quantity of product or service which can be produced by a process in a given slot of time. The process capacity of workers or human labor is termed as human capacity and that of the machines is referred to as Machine capacity. Capacity highlights the fact that all production activity can operate or produce within a specific range.

Efficiency – For a unit of input, the output of a business process is defined as the process Efficiency. Most often, processes are the repeatable aspects of a business and can be optimized to a great extent to improve the efficiency. Mathematically, the most elementary definition for overall efficiency of a process would be the value of Output divided by the Value of Inputs.

Effectiveness – This describes the process getting a desirable outcome, even if it takes longer time or is not efficiently done. With effectiveness, the focus is on doing the right things to get the outcome which the process is expected to give. In a process, the objective should be to achieve the right thing first and then carry out iterations to do the effective thing quicker, thereby growing efficient.

Flexibility – In order to accommodate the changing objectives and requirements of a business, processes should be flexible enough to incorporate those changes in timely and cost-effective manner. It is a very important design consideration, especially in multi-product business supply chains, where the demand for any product can vary from time to time. A flexible process allows you to meet this demand in all likelihoods in a cost-effective manner.

Quality – All the tasks and steps taken up in the manufacturing process of a final product would be the quality of the process. The focus is on all the activities to achieve a maximum acceptance rate irrespective of the final product. Hence, there can be a case when all quality features where followed in a process but the desired product was not achieved.

Value – The current measured parameter of a particular segment of a process which can be monitored and controlled is termed as Process Value. For example, it could be the pressure and temperature in a furnace. There is always a current state which is the value and a desired state which is often called as the Set-point.

Timeliness – With an objective to produce winning and profitable products from a process, it is important for the process to ensure that the process in not only handled in a creative, controlled way but also delivered at the right stipulated time. The time plays an equally important role in the business impact of a product.

Factors that can affect capacity

1.       Facilities and Infrastructure – The size and the provision for flexibility in the facilities created often influences the capacity of a process. The layout of the entire area decides how smoothly a task can be carried out in an efficient manner. Other infrastructure support through machineries and allied components together have an impact on the output, thereby affecting the capacity.

2.       Human and Policy Factors – Fixing the right person for the right job is very important to optimize the output of any process. Coupled with this the employee motivation should remain intact, any slack in any component pertaining to the labor can have an adverse impact on the capacity. When it comes to policy, management decides whether or not to go for overtime or additional shifts which will automatically have an impact on the Capacity.

Economic Order Quantity – this is the ideal quantity that should be ordered for a company for its inventory taking into account the production and set up cost, the lead time for production and the entire manufacturing time needed. This minimizes the inventory costs and takes into account the storage, ordering cost and shortages into account.
