Question
Read the following scenario:
As the manager of a department, you have noticed a lot of tension and arguments between your employees. The disagreements have been about work and personal issues.
Julie has been a model employee for more than a year. In the past month, she has been late to work six times. You have noticed her checking her cell phone for messages very frequently, and she has been visiting non-work-related websites on her computer.
Coping with work conflicts such as these has created an increased amount of stress in your life.
Write a paper of approximately 750 words that answers the following questions:
How do you identify and approach the different conflicts occurring within your department?
On which issues are you going to counsel, manage, and correct the behaviors of your employees? Outline your action plan for Julie. If you feel no action on your part is needed, explain why.
How are you going to manage your increased stress?
What policies and procedures can you put into place to help you and your team succeed?
Explanation / Answer
At first, pointing out to single person would sound negative and demotivating. Therefore, set of rules to be observed by every employee must be same. Therefore, I will issue the instructions as to the timings of the office with 15minutes of grace and make sure every employee follow this. For her phone or for everyone, as long as I am getting the output of daily activities, I won't interfere. The moment I feel work is suffering because of this habit, I will issue further instruction as to switch off the internet in phones and no texting while on work table. About the unauthorised websites, I will call my IT department who will customize the sites not required to work on to be banned here.
Issues like not completing working hours, not maintaining office decorum, unnecessary loud voices, leaves without approval are the issues to be considered.
I will issue the instructions as to working hours of an organisation to everyone including Julie. Websites will be blocked. I don’t need to get on her phone habits, that will automatically be reduced by increasing work load. She will be given more work to do which will make sure she will come on time for completion of work.
Yoga is my stress buster and my positive attitude also. Being broad minded, I hardly care what an employee does in their time as long as I am getting my work done on time and with quality. I believe employees should be set free to manage their work then only their creativity and innovation will come inti play. Self-motivated team is a goal of every organisation.
I will bring into picture a culture of open communication so that anyone can communicate freely for their concerns and queries and the work will be done smoothly. Responsibility will be given along with accountability to ensure that the work is done both effectively and also efficiently. Team building by organising regular meetings with manager and training programmes would be launched. Each member will be motivated, and their interest will be aligned to the interest of the organisation.
Diversified team is better in terms of bringing new ideas and creativity into the organisation and for this a Leader having such interpersonal skills is required. Leader knows very well how to smoothen the process and how to let the team going.
Before launching the policies and procedure, I will tell the team why it is needed. As if they know the logic and need for such measures, only then they will feel a need or urge to go for it. If I gained their trust, they will work for me, doesn’t matter I am watching them or not. Listening their concerns and giving suggestions will build up the trust and respect which leads to good relationship.
Incentive and recognition awards also give a motivation factor to the team. To achieve the recognition each employee will work towards this and ensure the successful completion for getting the same.
To lead the team, set the ground rules for them, then follow them yourself before asking them to follow the same. Become a good ideal for them to lead them. Clear instructions to be issued to avoid any ambiguity that may arise and make sure they understand as to what they are expected to do. Clearly state the deadlines. One rule always observes, praise them in public and correct them in private. Humiliation in front of everyone is very embarrassing and demotivating.
For better performance, make the work environment happening. Like Gym and sports for a small break needed to recharge your batteries. Good work life balance is also required. Leaves taken on being informed should be permitted. Leaves required for personal reason should not be denied. Equal remuneration among man and women must be ensured. Biased ness must be ignored.
Regular training programmes, travel programs, new certification or diploma programmes for every new segment the company entered would be welcome step. If the employee is included in decision making of anything, he will make sure he works well as the decision based on his consent also.
Watch out the team, those you feel have less of work so that they are roaming around, use that resource for some more productive work and guide them towards right direction. Ask and allocate work to them, if no such work exists, give any area of segment to them for oversighting. This way you can check their area of interest and talent.
