Q1. What items should a communications management plan address? How can a stakeholder analysis assist in preparing and implementing parts of this plan?
Answer)
The communications management plan addresses the methods and technologies at many times when the different people are related in a project and communicate as the information is being transferred from one to one or one to many. Stakeholders may have different tech capability and thus some may be comfortable communicating in a way and the other in other ways. Thus, using the technologies available to the stakeholders the project information should be communicated to them using their preferred or available technologies. The communication management plan should address the :
Communication type or the Meeting type of the project
Objectives of the Communication or the Meeting
Medium of the communication - email, phone, conference call, face-to-face etc.
Frequency of the communication
Audience of the communication
Owner of the meeting
Deliverables from the meeting or the communication or decision to arrive
Format of the communication
The stakeholders analysis can plan and prepare part of the plan and share with others as what he thinks to be the
communication management plan to be from his side. He gets to be clear about his expectations and the requirement from this plan. Much time of the project is spent communicating and thus communications management plan is necessary.
