Explanation / Answer

Being the member of a team charged with acquiring a specific type of health system for our organization from that perspective I will definitely opt for request for proposal (RFP) as it also contains request for information (RFI) in it. This will be better than nontraditional approach as we will receive in details all the specifications, boundations and all other informations.

So the specifications I will opt for the acquisitions are :

A. Background and Information

1. Primary Contact - Provide relevant phone number, fax, email ID's and address etc.

2. Overview of Organization – Provide information about the organization so the vendor may target the appropriate product(s) and prepare an accurate price quote:

3. Overview of Current IT Environment - relevant website URL's, internet service provider and etc.

4. Current Application Profile - Major Applications Impacted by this RFP whose alterations required or what is required.

B. Request for Information:

1. Vendor Information - their details.

2. Product History - how long and where all the product is running, whether developed or acquired and its plan for new demands meet.

3. References - where the product is running and the tenure.

4. How Product Meets Functional Requirements - Indicate how your proposed system makes available for the following features and functions.

5. How Product Meets Performance Requirements - Describe how your product performs functionality in response to the questions within this scenario

6. Product Technical Requirements - Provide a systems environment specification that outlines technical requirements for optimal system performance

7. Security and Reliability - Describe the system backup process, improvement process, tolerance recovery, archiving, encryption, decription and other stuffs.

8. Interoperability - proposed solution with respect to our current application profile

9. Reporting - its various reporting services be it custom, standard or adhoc or other type specified from our end.

10. Training, Usability, and Supportability - types of training(end user, system admin, product etc) time span and location plan for training. Different Support programs, support levels, SLA's and escalations.

11. Implementation Plan - Provide an overview of your implementation methodology and a sample project plan consistent with the size and type of our organization and modules in which we are interested

12. Documentation - What documentation is provided be with the system or product or license or certificates or installations or others terms, gurantees and offers.

13. Contract/Service Considerations - Provide a copy of your standard contract for licensing software, acquiring hardware, and providing ongoing maintenance/support and others.

C. Price Proposal (supply as a separate, sealed document) - Provide a separate sealed envelope—a pricing proposal for the software, implementation, interfaces, and hardware as described in our profile. Also the differnet prices like ownership, annual, purcahse and other as per their policy.

In this way I will discuss wth the team and would request to frame a proposal.
