The act of decision making and problem-solving is a required ability and strength of a HIM leader/manager. Whether it is the decision regarding staff members, departmental productivity, financial logistics, departmental issues to short-term and long-term projects, the call of action of the HIM leader has the potential to impact the department and organization.


Complaints have come to the department manager regarding timeliness of requests for patient information and a decision must be made.

Three months ago, Community Hospital opened a 24-hour urgent care center 10 miles away in a rapidly growing community. Kent Jones, the health information services manager, took part in the planning that included the use of a combined record and one patient identification number. The decision was made to use electronic sharing of patient records between the facilities; however, at present, it is necessary to fax some portions of the record upon request. In the past month, Kent has received four complaints from the urgent care center that records were not faxed in a timely manner.

There are 26 employees in health information services. Three full-time employees care for record activity during the day, with one employee devoted to record activity during the evening shift, when a team leader and four other employees are usually in the department. During the 11 p.m. to 7 a.m. shift, one employee cares for the department and picks up the discharged records from the patient care units. This time away from the department averages 1 hour. Adding additional employees is not an option, since there is a hiring freeze in place.

Kent envisions an increase in the requests for record information as the patient load at the urgent care center increases and realizes the assumption of his management team that this activity could be absorbed without adjusting work schedules was in error.

ANSWER- ACCORDING TO ME, DECISION MAKING is a process to make decision regarding the solution of the problem step by step & also alternate that solution if previous solution does not work.it is special ability of any manager or strength.

from above study,

A- REAL PROBLEM AFTER AWARENESS OF THE SYMPTOMS-

the real problem in the decision of the kent is that proper time schedule is not prepared by the kent in the record service facility because of that previous schedule request reports are getting delayed & complaints were increasing.

B- CRITERIA FOR MAKING DECISION WITH THE HELP OF AVAILABLE INFORMATION-

TO make new decisions the criteria should be-

first criteria would be that decisons should be implementable in the urgent care center not that it is in the mind but while executing the decison then it becomes impossible to implement.

second criteria would be cost, cost is something which every organisation keeps in mind while making a decision.the urgent health care can not prefer extra employee over 26 right now.so decision should be under the budgeted cost.

third criteria would be high effieciency in work, the manager should focus on the works of the employee working in the care of record activity,it may be possible that employee working in that department are the cause of late work & complaints are increasing cause of that.

3- ALTERNATIVE SOLUTIONS TO THE PROBLEM-

according to me, the alternative to the above situatio can be-

first alternative would be add more employee to record care activity beacuse more employee can more work to fax the information to the health care center. it would divide the overall work among the employee & information can be send more readily.

second alternative would be think about a new time schedule for 26 employees & divide the work according to their skills & assign them the department so that, efficiency & productivity can improve.

for example if the data operator assign the duty of report picking & employee with less knowledge of data entry assign the task of data care then there would be chaos in the department.

D- ANALYZATION & EVALUATION OF THE ALTERNATIVES-

FOR the first alternative where employee should be added to the record care department would divide the work & time & request for report can be done in time & no extra employee would be needed to recruit. evaluation would be based on pros & cons-

pros- division of work, timely process of request, less time consuming

cons- new work territory for shifted employees, time to adjust in new department

for second alternative where new time schedule should be made & assign the duties according to thier skills & knowledge.

pros- right people for right job, efficiency in work,

cons- monotony of doing same work again & again,

E- THE BEST ALTERNATIVE SELECTION-

the best alternative can be selected by reviewing the overall pros & cons of the alternatives.kent should choose that solution which provide the better results at minimum cost & time.

for me alternative first would be good to rotate the employees at those work which is more improtant like request processing so that problem complaints to get request late can be solved.
