Question

Write 2 paragraphs of atlest 200 to 300 words.Ten years ago, you started working as a clerk for DMD Medical Supplies.Six months ago, Liz Jakowski, the human resources director, promotedyou to oFce manager. You manage two employees: Jack Snyder andRuth Disselkoen. Your oFce provides secretarial support for the fourmembers of the executive team. Two years ago, Liz had assigned Jack tosupport Ralph Alane and Jessica Hilo. Ruth was assigned to SamuelDaley and ±rank Daley. The work ²ow was equally balanced. You’ve noticed that in the last three months Ruth has cut her breaksshort to complete her work, complains of being tired, and at least twicea month requires overtime hours costing the company an additional$200 a month. In the last three weeks, ±rank Daley has complained toyou a few times about the poor quality of Ruth’s work.On the other hand, over the last three months, Jack frequently seems tohave little to do. He has begun coming in late acouple times a week and taking more than the allotted break times. What work he does have, however, is always professionally completed.Clearly, you must investigate to determine what is causing this changeand how to improve the situation. Since nothing has changed in the personallives of either Jack or Ruth, you conclude you must focus on thein-oFce work situation. You learn the following facts:• Samuel and ±rank Daley share a part-time administrative assistantwho works only 15 hours a week.• Ralph Alane and Jessica Hilo share a full-time administrativeassistant.• Jessica Hilo has been on medical leave for the last four months, and Liz Jakowski isn’t sure whether Jessica will be able to returnto work.• Jessica’s duties have been temporarily reassigned to Ralph and ±rank.Although you don’t have the authority to change who Jack and Ruth areassigned to work for, you clearly need to change the work the two do sothat both Jack and Ruth work regularly without requiring overtime. The background explains the primary cause of the work²ow problemand the negative e³ects resulting from it. Your task is to makeup a realistic plan which solves the uneven productivity betweenJack and Ruth. Use prewriting tools like brainstorming, cluster orwebbing diagrams, and freewriting to outline the cause-e³ect situationand to develop a speci´c solution that best solves the problem. Also ask yourself the following questions to expand your prewriting.• How long has this situation been going on?• Why did the problems begin when they did?• Am I able to solve the problem at its root cause or am I onlyable to manage the impact of the problem?• Is this a temporary or permanent problem?• How has the company been a³ected?• How have the employees been a³ected?• What’s in my power to change? What must stay the same?• What are two or three ways to improve the eFciency of myoFce?• How much work, time, and money would be required to implementeach solution?• Does each solution stop all the negative e³ects?• Are there any bene´ts to the change beyond stopping what is occuring?• How exactly would each change a³ect Jack, Ruth, and the executiveteam?• What would I have to do to make sure each change goesthrough as planned and to monitor the situation once the solutionis in place?2. From your prewriting,

Explanation / Answer

Jessica Hilo who is a full-time assistant working at the company names DMD Medical Supplies went on a medical leave before four months. After the one months of her leave, the management started facing a lot of issue in making the workflow smoother. These issues were mainly related to the two employees named Jack Snyder and Ruth Disselkoen. Jack was in support the team formed by Jessica Hilo and Ralph Alane while the team formed by Frank and Samuel Daley was supported by Ruth. Among this manpower, Frank and Samuel are part-time assistants, on the other hand, Ralph and Jessica are the two full-time assistants. Once Jessica took to leave a lot of work pressure was exerted on Ruth while Jack was free most of the time. Due to this extra pressure of work, Ruth was forced to cut her breaks short, starts having the issue of being tired which resulted in poor work quality and these issues were also reported by Frank and thus he requested for the overtime hours twice per month which resulted in an extra cost of $200. If we look at Jack, he started coming late to the office, took longer break times and mostly seems to not giving due importance and time to the work assigned to him. But he was able to complete the work quite professionally. Thus caused a meeting to be conducted with the Human Resource Director, Liz Jakowski, and all teams involved, to resolve this matter.

In the capacity of an office manager, I think that this situation can be resolved effectively by assigning a full-time assistant to both the teams. As the time of rejoining of Jessica is not confirmed, a temporary replacement can be hired in her place. Although this provision will result in some kind of costs this will also help in relaxing the work pressure on both the teams. This option can be trialed at least for a period of three months. At the same time, the manager must have a close supervision to ensure that the workflow remains smooth. By having this kind of solution, it can result in more satisfied and happier manpower, reducing the pressure on each employee and creating the business as a whole more efficient over the longer period of time.
