Question

As a medical staff administrative assistant at a hospital, write a progress report to the director of the hospital outlining the current status of the annual reappointment of committees. Use the following facts to write the report:

A total of ten committees must be staffed.

The chief of staff has telephoned each person selected to chair a committee, and you have sent each of them a follow-up email of thanks from the chief.

You have written e-mails to all physicians who are currently on committees but are not being reapppointed, informing them of the fact.

You have written e-mails to all physicians being asked to serve on committees.

You expect to receive e-mail replied from those physicians declining the reappointment by the 15th of the following month.

Once committee assignments have been completed, you will create the membership lists of all committees and e-mail them to the complete medical staff.

Explanation / Answer

TO: Dr. ABC, DIRECTOR (XYZ HOSPITAL).

FROM: (Insert Your Name), MEDICAL STAFF ADMINISTRATIVE ASSISTANT.

DATE: March 30th, 2018.

SUBJECT: PROGRESS REPORT.

Dear Dr. ABC,

This is in response to your email requesting me to outline the current status of the annual reappointment of committees. As you are fully aware, our facility has been growing rapidly, thanks to your and the workforce’s selfless contributions towards ensuring we provide quality healthcare to our clients. The growth has also come with a number of challenges that are as addressed below.

We currently are understaffed in ten committees, a factor which has stalled most of our organizational activities. We thus need the committees to be staffed in the shortest time possible for us to be able to resume normal operations. The chief of staff has already telephoned each person selected as a committee head informing them of their roles. I have also sent each one of them an email thanking them for the dedication on behalf of the chief of staff.

All physicians who are currently on committees but are not being reappointed have received an email from my office informing them of the circumstances leading to their being dropped from the positions. I have also encouraged them to raise all their concerns with my office in the event of a misunderstanding reinstating that they are still part and parcel of us and we value them thus.

I have written emails to all physicians being asked to serve on the committees congratulating and providing them with a detailed description of their new duties and how they will be compensated. I have also notified them, in the email, that should they feel incapacitated to carry on with their new duties, they should communicate their declining by latest 15th April, 2018.

Finally, my office purposes that once committee assignments have been completed, I will create the membership lists of all committees and e-mail them to the complete medical staff.

Kindly review my report and advice accordingly on how it can be incorporated into our organization structure. Thank you.

Sincerely,
