Question
One of four executive stakeholders on your project tells you that she has a lot of great ideas to contribute and feels like the project team has not kept her well informed about your project. She insists on directly joining your project team to make sure her ideas are incorporated into the results of the project and improve communications. She is available only for evening and weekend meetings with the team and feels that she really can't miss any team meetings for the foreseeable future.
This wouldn't be a problem would it? How should the project manager address this? What about the other stakeholders?
Explanation / Answer
Yes, this may actually cause a problem because including an executive stakeholder in the project team actually may affect various ceremonies of the team like meetings, execution activities, planning because she may not be available everytime as she is available only for evening and weekend meetings which are very rare.
The Project manager needs to handle the issue diplomatically and effectively because the executive cannot be denied participation so she needs to be informed about the status of the project and in order to achieve that the project manager can actually set up a meeting weekly or may be on alternate days so that the status and issues are conveyed to her.
There are actually four stakeholders in the project and hence this should not cause any conflict hence the meeting schedule needs to be communicated to the others on a parallel basis. Importance should be given to each of the executive stakeholders so that they do no feel unimportant in the project.
