Question
The Blood Drive Report
The Scenario: You are one of the Food and Event Supervisors at the Greektown Casino in Detroit, Michigan. On the way to work this morning, you heard on the radio that the local Red Cross chapter put out a call for blood. Evidently the local supply has fallen dangerously low. Later that morning at the weekly department meeting, your boss, Liam Ziemkiewicz, the Director of Food, Beverage and Event Services, wanted ideas for upcoming events related to the Casino meeting is Social Responsibilities to the community. Everyone had ideas. Someone suggested that they should repeat the successful “Toys for Tots” event you organized last year. Someone suggested they collect back packs for a “Going Back to School” event. Someone else suggested a “Christmas in July” to collect food for the shelters as that is when supplies are running low. That’s when you remembered the news you heard that morning on the drive to work and suggested the Casino host a blood drive. As each idea was discussed, the same questions kept coming up. “How would that event work?” “What do we have to do?” “How much will it cost the Casino to organize and make the event happen?” “When would we hold the event?” “Would the event be held here at the Casino?” “How long does it take to coordinate the event?” Since no one had the answers Liam assigned each person one of the possible events. Each person is to investigate what it would take to organize, prepare for, and implement the event and then prepare a report proposal for the Board of Directors. The best one will be forwarded to the Board for their approval. He assigned the Red Cross Blood Drive to you so now you need to do the research and submit a report at the department meeting next week. At that meeting, the team will review the reports submitted by each person and decide which idea to send to the Board of Directors. This is a great career opportunity for you to get your name in front of the Board. Therefore, you know you need to put together a complete, concise, and well-written report that contains all the information the Board would need to know in order to approve hosting a blood drive at the Casino. Your Task You will create an outline for my review and feedback before writing a written report persuading the Greektown Casino Board of Directors to approve your organizing a public blood drive hosted by the Casino. Since the Board consists of people who are all Presidents or CEO's of major companies, you will need your best persuasive and report writing skills to convince them host this blood drive. If you do this well, it could mean a promotion to a manager-level position. Some Hints Be sure to include the persuasive strategy elements: gain attention, build interest, limit resistance, and ask for the action (plus emotional and rational appeals). Remember, those persuasive strategy elements are NOT an outline for your report—those are the four elements a persuasive message must accomplish. Use your experience and knowledge about organizing a business message. Think about 3 big buckets of information (the body of your report) the Board needs to know about the blood drive in order to give you approval to move forward. Then fill in the details. Remember, focus on what the Board needs to know about the blood drive rather than information about blood. Knowing that most people are Type O does not provide relevant information the Board needs to make the decision to approve the blood drive. As a hint, review the questions the team asked at their department meeting. Important: Be sure to ask the Board to approve the money for bottled water, orange juice, and snacks for donors. You’ll organize food service workers to handle the distribution, but you’ll need the board’s approval to let your team help out during work hours (meaning they would get paid). The Assignment There are two components to this assignment: a preliminary outline and the written report. Both are individual assignments.
