You are the human resource manager for BuildTech Sdn. Bhd. Over the past three years, your company has grown from a small team of 15 staff to a 60 staff team. Due to this rapid growth, it was observed that staff members no longer communicate with one another other than for work purposes. Your managing director would like to organise some activities to improve relationships among staff members.
You are required to write a proposal to the managing director,
i) explaining the reasons behind this situation;
ii) describing the effects of the lack of communication and low team spirit; and
iii) providing two (2) suggestions to improve the relationships among staff members.
Explanation / Answer
Problem: Due to the rapid growth in the organization, we find that the employees are no longer communicating with each other for reasons other than those relating to work itself. There are now workers from different cultures and societies, and due to that a lack of small talk and inter-personal relationships has crept in. The distance between the employes is increasing. As a result of this, employees are finding it difficult to communicate and share their work related stress which has been proven to be one of the most effective methods of reducing this stress. It is leading to an unfriendly atmosphere which is affecting their work and also the communication with clients. All of these factors are slowly causing employees to lose interest in the workplace which in turn is hampering their productivity and resulting in overall lower job satisfaction.
Improving inter-personal communication not only helps improve the mood of the emplyees but also makes them feel as if they are an integral part of the organization. Lack of team spirit makes the team less able to handle and deal with individual shortcomings, and therefore the employee has no one to rely on for support or help.
Proposed Solution: Although it may take time, continued effort can help in improving team spirit and improve communication within the emplyees which will improving the work environment and make it more positive.
a. Taking part in sports or fitness activities as a group not only enables the employees to lead a healthier life, but also builds their relationships in the way of them sharing personal experiences. This extends to the work place where they are able to utilise their experiences in working as a team during the sport and now at hte workplace. The management could allow the employees to take an hour each week where they could participate in a sport or activity such as yoga, volleyball, basketball etc.
b. Planning a field trip every once in a while for the employees would allow them to get to know one another on a more personal level in a social setting. This would result in them viewing their colleagues as individuals rather than just someone they work with. Such an outing would also help them to unwind from a stressful week at work, and come back rejuvinated and refreshed.
