You are the manager of the business department in a large corporation who supervises approximately twenty-five employees. It has been brought to your attention by another manager that several employees in your department seem to be violating company policy by inapropriately using communication resources. The company policy on personal use of e-mail, phones , and photocopying is somewhat vague with very littke detail. Being the proactive manager that you are, and wainting your department to set a good example, you decide to write a memo to your staff clarifying the policy on personal use of theses three business tools.

Subject: company policies regarding use of communication resources.
It has come to the notice of the management that the employees of the department are using the communication resources like email, phones and photocopiers for their personal use. We would like you to know that this act is against the company policies and action can be taken against any employee indulged in such activity. Every employee works for the growth and development of the company and should be concerned about any extra cost beared by it. Company gives you full freedom to use these tools for the business purposes and using them for personal use in case of emergency will also be acceptable but a regular use of it is not an ethical act and wont be acceptable by the company policies. We want this department to set an example by the work results and efficiency in the tasks they show but such activities will only put a black mark on our image.
Hence i request you to understand the policies based on the use of business tools for the appropriate use and take utmost care of not performing any activity that will go against the policies to avoid the management from taking any strict actions for the same.
