(TCO E) Customers must be informed of major changes to a business. Jay's Sporting Goods went through the bankruptcy process and was forced to close its stores. Jay’s also had to inform its loyal customers, those who were part of the frequent shopper's rewards program, that the program was being discontinued.
A letter will be sent from the president to the store’s loyal customers, to be followed by a press release. How would you handle this? How would you start out this message? What major points do you think should be covered? How would you word the closing statements?

The letter will have the following matter:

With utmost regret, I would like to inform that our company is closing with effect on ......(date). This harsh decision is taken by us is due to some financial crises that the company is facing. In the scenario that the company is going through the only option we had was to shut the company down.

We feel it our duty towards our loyal customer who have been giving their valuable contribution in the growth of the business constantly. Hence we are informing them about the clousure well in advance for you to take any service from the company till that time. You can call on our number in case of any enquires and doubts about the closure.

Your valuable and continuous support has been our greatest strength and helped the company to reach to a level where is was.

In this letter I have first informed the date of closure and the reason for the closure. As the customers will not be that much interested in knowing the reason behind the closure, I have given the reason without getting into much details about it. Also showing them their importance and value we would at the time of closure and showing to them how valuable they are for the company being loyal and supportive customers. I have also mentioned to revert back in case of enquiry regarding the matter. Hence this way i conveyed my message in the most convinient and effective way.
