Question

The PMBOK Guide (2013) defines process groups as follows:

“These five Process Groups (Initiating, Planning, Executing, Monitoring & Controlling, Closing) have clear dependencies and are typically performed in the same sequence on each project.”

Process groups are executed at a high level for the whole project but they are also repeated at lower levels even down to that of individual work packages when this is necessary. Provide an example of a recent work or school project of yours where you were in charge if managing all of these process groups. Did you manage to meet the project success criteria on time?

Explanation / Answer

PMBOK guides defines the process groups such as Initiating, Planning, Executing, Monitoring & Controlling and Closing are dependent on each other in a given Sequence as specified.

Every project or assignment needs the process. Without a continuous process, the success is not possible. The process has the well-defined steps. These steps are also processes. The Processes are divided in to set of activities and tasks. These combines to given the result. The processes also repeated whenever required so as to ensure the effectiveness of the process.

I was working on the patient management system project in my college time. It was my final year project. As the project was chooses by my team members including me so we need to submit that within three-month duration.

While starting the project firstly we identified the problem statement. It was the Initialization of the process of Project. After analyzing the problem statement, we divided the project within our team members. Now we know that we have to proceed on the same project. Next, we plan about the project that how we would begin. We have set objectives in planning, standards, budget, equipment’s requirements etc. We proceed the project we did feasibility analysis, requirement gathering, requirement of software and hardware’s then we started designing the project. But we have done a mistake in planning process that we didn’t prepare an alternative plan if the project didn’t execute then what we will do. So, after designing we have found that we don’t have the starting point for the coding process. We were clueless how to proceed as we had already taken the 1 and half month time to do all this stuff. We have again redone all the working within the 15 days’ time duration. Now, we started coding we shows the correct results. So, if the starting processes are not done very fine way then the result won’t come. Hence, we executed the project which was running finely. The next step was to run the project on the external environment. So, we started monitoring weather it works on external environment. Some of the inputs and results varies which we have controlled as per our requirements. As we need only patient phone number but it shows the whole details of the patient which was not required. After rectifying the problem, we had completed the project on time and within budget which was planned earlier. So, it is utmost important to follow the defined process which definitely leads to the success.

Yes, I manages the project to complete on time and within budget.
